Three Office Machines You Should Consider Getting to Save Time

April 11, 2011 by Jeff McRitchie Leave a Comment

One of the most important professional skills to master is time management.  Saving timedemr-lf282n-sm-ma can help you remain productive and meet deadlines. To succeed at time management, there are devices that can assist you. Here are three office machines you should consider getting so you can save time:

1.)    A paper folding machine. Folding documents is one of the easiest office tasks, but it also happens to be one of the most time-consuming. If you only fold a few documents a day and don’t send out large numbers of invoices or newsletters, you can probably do just fine folding your documents by hand. However, most people can benefit greatly from having access to a paper folder.  This is a type of device that can take a stack of documents and fold them so they can be popped into envelopes without a lot of hassle. Paper folders can be small, desktop devices that are good for light use or they can be more heavy-duty and fold hundreds or even thousands of documents per hour. Since there are so many different folders to choose from, there’s definitely one that’s right for you.

2.)    A letter opener. If you get a paper folder, a letter opener can be a terrific accompaniment. A letter opener makes it quick and easy to process your mail, which can be really handy during the middle of a busy workday. There are a number of handheld openers to choose from, as well as larger devices that are perfect for companies that handle hundreds of pieces of mail per day. One of the many advantages to using a letter opener is that one can typically open a letter in such a way that the enclosed document doesn’t get cut up. Also, using a letter opener can reduce the likelihood of paper cuts which is always a plus.

3.)    A pouch laminator. It almost goes without saying that paper can be easily damaged whether it’s due to spills, rips, or overhandling. If you frequently have to recreate documents because they’ve fallen apart or become lost, you’re probably wondering how you can save time so you can do something more constructive. The good news is  a pouch laminator can help you out. You can use one of these devices to protect items ranging from name tags to placards, safety inspections to photographs. Using a laminator is easy once you get the hang of it and doing so will definitely make your materials much more durable. This will allow you to use your documents as often as possible and not worry about them becoming useless.

Saving time during the workday is important and if you have the right equipment, doing so can be easy. The three machines discussed in this article can help you manage time more efficiently, process incoming and outgoing mail, and protect important documents. Consider getting a paper folder, letter opener, and/or a pouch laminator to see how your workday can be easier and more productive. You’ll be happy that you did.

Federal Privacy Laws: Are You Compliant?

December 16, 2010 by Jeff McRitchie Leave a Comment

34360lg-150x150In the past several years, the federal government has passed new laws regarding the disposal of certain documents. These laws include the Health Insurance Portability and Accountability Act (HIPAA) and the Fair and Accurate Credit Transactions Act (FACTA). Following these laws entails properly disposing of documents containing information regarding credit, health, and so on. Just about every business in the country needs to follow the regulations in at least one of these pieces of legislation or else you risk being sued and/or fined. You could even possibly be charged with a crime.

The best way to comply with these strict laws is by shredding your documents. Five Things Every Busy Office Needs

June 5, 2010 by Jeff McRitchie Leave a Comment

Every office needs supplies, from pens and paper to computers and fax machines. You are alsomartin-yale-1624-sm13-ma going to need some other things that might not even have crossed your mind. Here are five of them.

                1. High-quality staplers. Just about everyone in your office can benefit from having a good stapler at the the ready. A stapler offers an easy way to fasten documents together with the need for a big binding machine. There are a lot of staplers you can choose from including compact desktop models, portable devices (good for your traveling employees!), and high-capacity electric units. Some brand names to check out are Dahle Novus and, of course, Swingline.
                2. Good cutting tools. Even if your business doesn’t deal in the creative arts (i.e. photography, graphic design), you can still benefit from owning some paper cutting devices. Scissors can be easily stored in your employees’ desks, as can some of the smaller rotary trimmers on the market. If your workers frequently need to cut larger quantities of paper, a first-rate guillotine or stack cutter can be a good investment. A couple of companies that make great paper cutting tools include GBC and Akiles. Dahle also makes some excellent scissors.
                3. An electric letter opener. Your office probably receives a lot of mail and opening all of those envelopes can be time-consuming. (Costly too, when you consider labor costs.) That’s why an electric letter open is a must-have device. These machines can process hundreds – or even thousands – of mail per hour and most do so automatically. That way, you can spend time and money involved in more engaging – and lucrative – activities. Martin Yale makes some really great letter openers, so check them out.
                4. Whiteboards and bulletin boards. Even in this age of e-mail and iPhones, you can still use old-fashioned ways of communicating with your colleagues. Whiteboards are ideal for conference rooms for jotting down ideas during meetings. Smaller boards can even be placed in cubicles so your employees can stay on top of things. And bulletin boards are ideal for displaying announcements and other important items, such as labor law posters and reminders about the upcoming company picnic. Quartet, Ghent, and Balt Best-Rite all make boards that can help you communicate.
                5. High-security paper shredders. Unless you want to become a victim of fraud or face a lawsuit of some sort, you’re going to need paper shredders in your office. These machines will give you a secure way to get rid of any documents containing sensitive information (i.e. bank account numbers, personnel data, etc.). You can choose large departmental shredders that can be used by multiple people over the course of the day or you can get smaller devices that can be stored right by your workers’ desks. Be sure to choose cross-cut machines so you’ll get the most security available. Some great paper shredder manufacturers are Fellowes, GBC, and Intimus.

Every office needs tools to be successful and if you stock your workplace with these items, your odds of success have just increased. Get these great products today and see what they can do for you.
